The Challenge

Aggregating sales data and reconciling orders was an extremely time consuming process. PMD sells its products across multiple channels. They have e-commerce websites for selling direct to consumers in the US, Canada, Europe and Australia. They also sell through channels like Amazon, Macy’s, Dillards, Nordstrom and Sephora. All these channels create their own data and send it to PMD in different formats. 

Each week the accounting department had to manually gather data from the various sales channels and manually aggregate the totals by SKU and product category. Reconciling sales orders between different systems and accounting for returns, cancellations, refunds, etc. was becoming a tedious and time-consuming task.

Essential Spreadsheets

Before Plena Data got involved, PMD was manually updating a master spreadsheet with over a dozen tabs. The master spreadsheet served numerous functions including (1) accounting & reconciliations, (2) keeping a historical record for trend analysis, (3) classifying sales orders, and (4) aggregating numbers by product SKU and category, etc. This spreadsheet played a critical role in the operations of the business.

Maintaining this master spreadsheet took the team several hours each week. Updating the numbers, importing and formatting new data, fixing formulas all required time.


Plena Data successfully automated the entire process of extracting, aggregating and formatting data from the various sales channels. The data flow into the master spreadsheet became automated. Each week the master spreadsheet is automatically updated to reflect the latest numbers. Even though different vendors send data in different formats at different times, everything gets processed and compiled into a uniform, single database.

The automated spreadsheet is now 100% accurate and requires 0% of the team’s time to update and maintain.
